Your Position
We are looking for a Talent Acquisition & People Operations who will support both HR Operations and Talent Acquisition during a high-growth period at KITRO. This is a hands-on, execution-focused generalist role covering systems, documentation, payroll & timesheet coordination, onboarding/offboarding, people cycles, and recruitment, strategy and execution.
You will be the backbone of the People function, working closely with the Head of HR to ensure our people systems run smoothly, employees have a consistent, high-quality experience, and hiring needs are supported with structure and clarity.
This role is ideal for someone with TA experience who is looking to deepen their generalist HR capabilities and gain experience across the full employee lifecycle.
Responsibilities
Personio Ownership
Act as KITRO’s Personio owner, ensuring accurate and compliant employee data
Manage workflows, templates, automation, permissions, and data structure
Maintain contracts, benefits, insurance updates, and all HR documentation
Keep clean, audit-ready digital files across all employment records
Constinuously improve Personio and consider add on functions, inc performance reviews.
Payroll & Timesheet Coordination
Oversee time tracking and timesheet accuracy, including follow-ups with employees and managers
Prepare monthly timesheet reporting
Support the Head of HR with payroll reporting and compliance checks, inc. ensuring accuracy of salary changes, allowances, benefits, AVS/LPP/family allowance data
Prepare monthly payroll updates in for Switzerland, Debelux, and the EOR (Head of HR to review), place payslips on Personio
People Cycles & Organisation Rhythm
Plan and coordinate quarterly team meetings
Rune quarterly engagement surveys, with a completion rate of over 80%
Track action items, support follow-up with leaders, and maintain documentation
Contribute to improvements in people processes, templates, and policy deployment
Talent Acquisition
Run and support recruitment for assigned roles, including sourcing, screening, scheduling, and coordination
Maintain structured hiring pipelines and ensure clear progression of candidates
Conduct screening calls and assess candidates for skills and values alignment
Prepare shortlists and support hiring managers throughout the process
Manage hiring dashboards and provide weekly reporting and relevant updates
Improve the recruitment processes where weak points arise (e.g. sourcing)
Onboarding & Offboarding
Own 100% completion of onboarding (includes probation) and offboarding processes
Coordinate systems access, documentation, equipment, and induction activities
Track probation milestones and gather feedback at key points
Continuously improve onboarding and off-boarding journeys and materials to ensure a consistent and positive experience
Skills
Must-haves
3+ years of experience across HR operations and/or talent acquisition
Strong organisational and systems-thinking skills
Ability to manage multiple processes and stakeholders with clarity
Clear, concise written and verbal communication
Experience running or supporting end-to-end recruitment
High ownership, speed, and attention to detail
Alignment with KITRO’s mission, values, and ways of working
Nice to Have Skills
Experience in startups or scale-ups
Exposure to Swiss/EU labour market processes
Familiarity with Personio or similar HRIS
Experience coordinating payroll or benefits
Interest in sustainability, hospitality, or food-tech sectors
